1. Who we are and what this policy covers
Tekem Solutions Inc. (“Tekem,” “we,” “us” or “our”) is an IT services and talent acquisition firm headquartered in Herndon, Virginia. This Privacy Policy explains how we collect, use, share and protect personal information when you visit tekemsolutions.com (the “Website”), contact us, apply for a role, receive text messages or emails from us, or do business with us.
When we process information on behalf of a client as part of a project (for example, data held in a client’s systems that we work on), we act as that client’s service provider. That information is handled under our contract with the client and the client’s own privacy notice, not this policy.
2. Information we collect
Information you give us
- Contact and enquiry details: your name, email address, phone number, company, job title, the service you are interested in and anything you write in a message.
- Job applicant and candidate information: your resume or CV, cover letter, contact details, work history, education, skills, certifications, references, salary expectations, work authorization status and job preferences. Where permitted by law and only with your separate authorization, we may obtain background, reference or verification checks through third-party providers.
- Client and project information: business contact details, project requirements, documents, technical specifications, and any system details or access credentials you provide so we can deliver an engagement. We treat this information as confidential.
- Financial and insurance information: billing contacts, invoicing and payment records, tax identification details (such as W-9 information for vendors and contractors) and certificates of insurance. For consultants we place with clients, this may include payroll, tax and insurance-related information we are required to collect by law or contract. Our Website does not collect or store payment card numbers.
- Photography, video and files: resumes, project files, photos or videos you upload or send us. We only publish photographs of identifiable people with their permission. Some imagery on the Website is illustrative and does not show actual Tekem staff, clients or offices.
- Text message information: your mobile number and a record of the consent you gave (or withdrew) to receive text messages.
Information collected automatically
- Device and usage data: IP address, browser and device type, pages viewed, referring pages, approximate location derived from your IP address, and the date and time of your visit.
- Cookies and similar technologies: see section 6.
- Security signals: our forms are protected by Cloudflare Turnstile, which assesses signals from your browser to tell people and automated bots apart.
Information from other sources
We may receive information about candidates from professional networking sites, job boards and referrals, and about business contacts from publicly available sources and our clients.
3. How we use your information

- To recruit candidates, assess their suitability for roles and, with their knowledge, present them to clients.
- To plan, deliver and support client engagements, including scheduling, invoicing and collections.

- To send marketing communications where you have agreed to receive them or where the law allows, always with a way to opt out.
- To operate, secure and improve the Website, including preventing spam, fraud and abuse.
- To comply with legal obligations, enforce our agreements and protect the rights, property and safety of Tekem, our clients, candidates and others.
We do not use your personal information for automated decision-making that produces legal or similarly significant effects.
5. Text messages (SMS)
If you opt in on our forms, Tekem Solutions Inc. may send you non-marketing text messages about your enquiry, application, appointment scheduling, follow-ups and existing engagements.

6. Cookies and analytics
We use a small number of cookies and similar technologies:

- Analytics: help us understand how visitors use the Website so we can improve it. These may be provided by Google Analytics.
- Security: used by Cloudflare Turnstile to protect our forms from automated abuse.
You can block or delete cookies in your browser settings. Some parts of the Website may not work properly without essential cookies. Our Website does not currently respond to “Do Not Track” browser signals.
7. Email communications
We follow the CAN-SPAM Act. Every marketing email we send identifies Tekem Solutions Inc., includes our postal address and contains a clear unsubscribe link. We honor unsubscribe requests within 10 business days. Even if you unsubscribe from marketing, we may still send messages about an enquiry, application or engagement you have with us.
8. Your privacy rights, including Virginia residents
Depending on where you live, you may have the right to:
- confirm whether we process your personal information and access it;
- correct inaccuracies;
- delete personal information you provided or that we obtained about you;

- opt out of the sale of personal information, targeted advertising and profiling that produces legal or similarly significant effects. (We do not engage in these activities.)
Residents of Virginia have these rights under the Virginia Consumer Data Protection Act (VCDPA) where it applies. Although some of our activities, such as business-to-business communications and recruitment, may fall outside the VCDPA, we will honor reasonable requests from any individual.

We will not discriminate against you for exercising your privacy rights.
9. Children’s privacy
Our Website and services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13, in line with the Children’s Online Privacy Protection Act (COPPA). If you believe a child has provided us with personal information, contact us and we will delete it. Job applicants must be at least 18 years old.
10. How we protect your information
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS), access controls, bot protection on our forms and confidentiality obligations for our staff and service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send highly sensitive information, such as Social Security numbers or financial account details, through our Website forms or by text message.
11. How long we keep information
We keep personal information only as long as we need it for the purposes described in this policy, including to meet legal, tax, accounting and contractual requirements. For example, enquiry records are kept while we are in contact with you and for a reasonable period afterwards; candidate records are kept so we can consider you for future roles unless you ask us to delete them; and financial records are kept for the period required by tax law. When information is no longer needed, we delete or anonymize it securely.
12. Third-party links and services
The Website may link to or embed third-party services, such as Google Maps or LinkedIn. Those services have their own privacy policies, and we are not responsible for their practices.
13. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new “Last updated” date and, where the changes are significant, provide additional notice.
